Introduction  There is a need for an active Alumni cell at the institute. The cell is supposed to coordinate between the alumni groups and provide help and service needed by alumni. The alumni body at the Institute has been present for quite some time. The work has been ad-hoc and needs to be strengthened.

Proposal  Pay 4 students to take care of all the work that alumni expect to be done by the alumni office in the Institute.

Job description of the members  The student team working in the alumni office are expected to assist the alumni connect with the each other and with the people in the Institute with the goal of fostering camaraderie and building a network to support activities to further the goals of the Institute. The specific tasks that the student team will be handling are •

Supporting alumni activities in the Institute o Updating Alumni about sponsorship requirements o Track and report on alumni funded projects o Update faculty and students about alumni activities o Support Silver / Golden jubilee alumni reunions held annually in the Institute



Building the alumni network o Provide support for alumni meets o Organized updates of the alumni database & Web site (www.itbhuglobal.org) o Informing alumni about travel of faculty members to a particular location.



Spreading awareness o Sharing campus activity news with the alumni o Highlighting achievements of alumni amongst students o Updating alumni of events in IT BHU

Coordinating activities where alumni support is required o Summer training for students o Mentorship program

Reporting structure  The students will be required to organize one meeting every week with all the team members and faculty in charge of alumni affairs. The aim of the meeting should be to review open items from last week and list action items for the current week. The minutes of the meeting and action items should be shared within one day with the alumni team coordinating this effort. Tracking of the action items will be done by Alumni and Faculty in charge.

Selection of Members  Selection Process  The alumni association will send out a job posting to all the students. Interested students can apply for the various open positions. If there is more than one application for an open position then the alumni group managing this process in conjunction with the faculty incharge of alumni affairs will make the final decision on who is selected.

Criteria for selection  The following criteria form the base for the selection of the alumni office team. 1. Any student who is not in the final year of their course i.e. • B.Tech – 1st 2nd and 3rd year • IDD / IMD – 1st 2nd 3rd and 4th year • M.Tech – 1st year • PhD – Any year except for the year they are going to defend their thesis 2. Ph.D. / M.Tech. / B.Tech / IDD / IMD course students from the 1st year can apply only after the first semester. 3. Each student needs to maintain a minimum grade average of 7.5 Students from the final years of their courses who have previously worked with the alumni cell would be requested to volunteer as advisors. Challenge: Including the PhD, M Tech and M Tech Integrated members. This needs further discussion.

Expected expenditure  The alumni cell intends to provide a stipend to the students who work in the alumni cell. The proposed remuneration is as follows. • • • •

Ph.D. / M.Tech. will be paid Rs 2000/-pm B.Tech./IDD/IMD, in pre-final year will be paid Rs 1500/-pm B.Tech./IDD/IMD, in second year will be paid Rs 1500/- pm B.Tech./IDD/IMD, in first year will be paid Rs 500/-pm

For a 4 member team – (INR 2000 + 2 X INR 1500 + INR 500) X 12 = INR 66,000 will be required annually to fund this program.

Collection of funds  Bangalore chapter will collect and fund the program for first 3 years. A total amount of INR 1,98,000 needs to be collected. We intend to collect 3000 per head from 66 Alumni. Alumni can fund as a person of as a group. Larger contributions will help in reaching the goal sooner. The alumni group will • • •
