A Comprehensive Assessment of the DLSU Library’s Print Reference Collection By Willian S.A. Frias

According to S.E. Ifidon, author of A guide to reference services published in 1997, reference service is the “springboard to the library and librarianship, wherein one is involved with all aspects of information both theoretical and practical”. To make Antiquarian the “springboard” stronger Reference general collection collection and flexible and to avoid “accidents” when the going gets tough it is therefore necessary to assess a library’s reference collection in support of the said service. Assessment of the reference collection provides library administrators with an internal analysis tool which can be used for planning and building the collection. dict the collection’s path; and help come up with other strategies that would result to the collection’s progress, aside from other administrative tasks of: projecting budgetary needs; provision of communication tools and data for resource sharing with other libraries; presenting the library staff with a better understanding of the collection; and enhancing the skill in collection development. It is in these premises that this study was undertaken, with the following objectives: 1. To determine the extent of the print reference collection, specifically: a. In what subject is the collection strong; and, b. In what subject is the collection weak;

Ladlad Attends the 28th Annual American Studies Forum ASRC Librarian, Jocelyn Ladlad, was fortunate for having been chosen by the Cultural Affairs Office of the United States Embassy in the Philippines as one of the grantees to participate in the 28th Annual American Studies Forum held in the University of Hawaii at Manoa from August 5 to 11, 2008. Specifically designed for scholars, faculty, and graduate students interested in subjects related to America and American Studies, a total of ten participants in the American Studies group coming from Asian countries such as Japan, Korea, the Philippines and one from Hawaii, attended the Forum. Invited speakers were Dr. Mark Helbling, Dr. Craig Howes, Dr. Barry Manikoff, Dr. Mari Yoshihara and Dr. Deane Neubauer. After the forum, Ms. Ladlad took the opportunity to visit New York’s Public Library where she had a glimpse

Library Implements New Privileges/Policies

The ITC Help Desk’s series of MS Tips and Tricks training for faculty members and co-academic personnel was conducted on July 18, (MS Word Tips and Tricks), August 1, (MS Excel Tips and Tricks), August 15, (MS PowerPoint Tips and Tricks), and August 29, (MS Windows Tips and Tricks), respectively. The trainings aimed to assist faculty members and co-academic personnel in improving skills in different Microsoft applications, and saving time in creating documents and presentations through tips, shortcuts, and tricks. Faculty librarians and library staff who attended the said trainings were Annabelle Aliwalas, Cynthia Cordova, Jocelyn Ladlad, Vivian Soriente, Marita Valerio, Melton Jo, Jocelyn Juan, Rolando Masindo and Allan Tan.



The University Library, upon the approval of the University Library Council, has started the implementation of the increase in number of borrowing limit for all types of patrons on August 1, 2008. From the previous limit of 6 books for students and co-academic personnel, they may now borrow a maximum of 10 books; graduate students and Star scholars, on the other hand, may borrow a maximum of 12 books which is 50% more than the previous limit of 6; while the borrowing limit for faculty, academic service faculty (ASF), administrators, Brothers, and academic service personnel (ASP) has been increased to 15 books which before was 10. The loan period, however, remained at 14 days for students, both graduate and undergraduate and 100 days for faculty and administrators because with the introduction of the online renewal system on August 15, 2008, the loan period has in effect been multiplied by 3 times since online renewal will be allowed for a maximum of two (2) times provided there is no

prior request/reservation/hold for the material. Borrowers who wish to renew for the third time are requested to renew over the counter to make sure that those who may have already lost a borrowed book will not be able to take advantage of the service. Borrowed materials may be renewed two (2) days prior to the overdue date or upon receipt of the electronic notice sent to the borrower’s MyLaSalle email account. Part time faculty members are not allowed to renew online. A tutorial on online renewal is accessible through this link: http://www. dlsu.edu.ph/library/tutorials/OnlineRenewal.wmv. With the implementation of these new privileges and policies, overdue fine for all types of patrons was also increased to Php20.00 from Php3.00 for students and Php5.00 for faculty members as approved also by the members of the University Library Council. The University Library urges all borrowers to return borrowed library materials on time either at designated counters of the Library or through the book return chutes located on all gates of the campus or to renew online.

Faculty Librarians Receive Service Awards

Five faculty librarians were recipients of service awards during the Annual Faculty Recognition held last August 8, 2008 namely Vivian Soriente, Ana Maria Fresnido, Elizabeth Padilla, Cynthia Cordova and Jocelyn Ladlad. Vivian Soriente received the twenty five (25) year service award. Vivian started as an assistant librarian at the Circulation Reserve Section of DLSU Library in 1982 and was transferred to IMS in 1985 until 2007. With her dedication and sincerity, she was able to finish her Master’s Degree in Library and Information Science at the University of the Philippines in November 2005 which paved the way to her promotion as an academic service faculty librarian and now works as the Circulation Reserve Librarian. Recipients of the twenty (20) year service awards were Ana Maria Fresnido and Elizabeth Padilla. Ana’s dedication and hard work led her to the highest rank in the DLSU Library. She started as an assistant librarian/junior cataloger and diligently worked, honed her cataloging skills and remained in the position for eight (8) years. She was appointed head of the Cataloging Section in the early part of 1995 and later became head of the Technical Services Unit. In summer of 2000, she finished her master’s degree in Library and Information Science at the University of the Philippines. In August 2006, she was appointed as the University Library Director. Ms Padilla, on the other hand, started working at DLSU Library way back in 1986 as assistant librarian, on contractual basis, particularly at the Circulation Reserve and Information-Reference Sections. She was made permanent in January 1988 as assistant librarian of the Reader’s Services Unit. In 1997, she was transferred to Cataloging Section as a cataloger. With her commitment, she was promoted to an academic service faculty position and has worked as the Bibliographic Control Librarian and was later on designated

Because of her steadfast leadership, she was appointed Head of the Readers’ Services Unit in school year 2007-2008. Fifteen year (15) service awardees were Ms. Cynthia Cordova and Ms. Jocelyn Ladlad. Cynthia started working at the DLSU Library as an assistant librarian at the Circulation Reserve Section in 1992. In 1993 until 1996, she was assigned at the Information Reference Section also as an assistant librarian. In July 1996, she was promoted to the rank of an academic service faculty and appointed as Bibliographic Control Librarian for almost two years. Later in 1998, she was assigned as the Circulation Reserve Section Librarian and in 2001, as Filipinana Librarian. Cynthia now serves as the librarian of two satellite libraries, the Andrew Gonzalez Hall Library (AGH Library) and the Br. Benedict Learning Resource Center (BBLRC). Ms. Ladlad, also a 15-year service awardee, started working at DLSU Library in July 1992.

Prior to her designation as Periodicals Section Librarian for two (2) years, she was assigned at the Circulation Reserve Section. In 1997, she became the Librarian of the European Documentation and Research Centre (now European Documentation Centre). In 2000, she was given an additional responsibility which is to manage the American Studies Resource Center. Despite her hectic schedule, she was able to finish her master’s degree in Library and Information Science at the University of the Philippines on the same year. With her experience in managing special libraries and having dedicated herself to serving the academic community as well as linkage partners, she was assigned as the coordinator of the four satellite libraries namely GSBLSGH in Ortigas, RCBC in Makati, the AGH Library, and the BBLRC in the second term of SY 2008-2009. Grateful to DLSU, she said that the university has opened many doors of opportunities for her, both professionally and spiritually.

Comprehensive ... from page 1 the DLSU Reference print collection, particularly the books, monographs, vertical files and maps, collected and/ or organized by the Reference Section until September 2007. Books and monographs referred to any or all of the following: antiquarian, active books, accessioned ADB and UNESCO collections. On the part where the average age of the collection was computed, only 17,969 titles were included in the study out of the total of 18,463 titles since these were the only ones with available dates of publication. The study therefore concentrated on this number of titles only. Findings Results of study were as follows: On the Profile of the Reference Print Collection 1. Total Reference print collection (i.e. including accessioned and unaccessioned collections) as of September 2007 is 18,463 titles, equivalent to 29,120 volumes. 2. The accessioned collection consists of 17,969 titles. 3. As far as the number of titles and volumes are concerned, the collection is strong in Language & Literature (P-PZ), Religion (BL-BX), Computer Science (Q300-Q399), Business/Marketing/Accountancy (HF) and Library Science (Z-ZZ). 4. The collection in general is weak in Anatomy (QM), Mining Engineering (TN), Hydraulic Engineering (TC), Military Science (U-UZ) and Microbiology (QR). 5. The core collection, on the other hand, is weak in Philosophy (B-BD), Psychology (BF-BJ), General History (C-CZ), General Social Sciences (H), Statistics (HA), Economics (HB), Political Science (J-JZ), General Science (Q1-Q295) and all fields of hard and pure sciences. Age of the Accessioned Collection 6. Distribution of Titles per Decade - Those published from SY 1990-1999 posted the most number of acquisitions covering 34.99% (equivalent to 6,288 titles) of the total collection.

- The most current publications (those published from 2000-2007) comprised 22.87% (4,110 titles) of the total collection. - Resources published from 1910-1919 had the least number in the collection comprising only 0.43% (77 titles) of the total collection. - Education (L-LZ), Anatomy (QM), History (C-E), Microbiology (QR) and Marketing (HF) topped the list of collections having the most number of currently published volumes. 7. Average Age of Collection - The average age of the entire accessioned collection is 20.56 years or 20 years and 6 ½ months, having an average publication date of 1986.44. - The Education collection (Special Aspects) (L-LZ) is the youngest/ most current of all the collection having an average age of 11.32 or equivalent to an average publication year of 1995.68. - The oldest, on the other hand, is General Works (A-AZ) with an average age of 37.22 or having an average year of publication of 1969.78. - Factors influencing the average age of collection are: funding, acquisition policies, and weeding practices. Growth of the Collection 8. SY 2005-2006 logged the most number of acquisition of accessioned collection having acquired a total of 1,021 titles (1,263 volumes) 9. The lowest acquisition of accessioned collection was recorded in SY 2002-2003, having acquired only 788 titles, equivalent to 974 volumes. 10. The average annual growth of the collection is 929.4 titles, equivalent to 1,104.2 volumes. 11. The highest growth was posted for the Religion (BL-BX) collection, having acquired 468 titles within a period of 5 years. 12. The lowest growth was posted for the Mining Engineering (TN) collection, where only 4 titles were added in a period of 5 years. 13. The highest growth rate, where growth rate was extracted by dividing the last five school year’s acquisition by the number of acquisitions for the last

10 decades, was posted for the Anatomy (QM) subject category while the lowest was posted for Library Science (Z-ZZ). 14. The highest number of purchases made for accessioned collection was in SY 2006-2007, having bought a total of 260 titles while the lowest was in SY 2002-2003 having procured only 81 titles. 15. Factors affecting the growth of acquisitions are: - Curricular offerings - Enrollment population - Treatment of subject category (general, specific, technical, etc.) - Availability of published materials - Budget allocation - Currency exchange rate - Book price - Faculty involvement in the selection and recommendation of books - Donations received Collection Usage 16. The total usage of print resources (both accessioned and un-accessioned) was 149,522 for the last 5 years equivalent to an annual average usage of 29,904.4 or average daily usage of 99.68. 17. The accessioned collection logged a total usage of 143,873 for a period of 5 years, where the highest usage was posted in SY 2002-2003 and the lowest in SY 2005-2006. 18. The Religion (BL-BX) collection posted the highest number of usage, garnering a total of 14,628 usages for the last 5 years, averaging more than 9 usages per day. 19. The Mining Engineering (TN) collection was the least used, having been used only 82 times in the last 5 years. 20. There is a diminishing trend on usage from SY 2002-2003 to SY 2005-2006. 21. Factors affecting usage of accessioned resources are: - Availability of resources - Behavior of users (research-centeredness, etc.) - Type of users (graduate, undergraduate, faculty, etc.) - Availability of users to go and use the library - Population of users - Organization of the collection -Age of the collection Comprehensive ... see page 5

Usage of un-accessioned collection totaled to 5,649 for the period of 5 years, where the highest usage was posted in SY 2006-2007 with 1,654 usages and the lowest in SY 2004-2005 with 610 usages 23. The Vertical File collection captured the highest percentage of usage among the 5 types of un-accessioned resources, logging 74.35% (4,200 usages) of the total usage of un-accessioned collections. 24. UNESCO and School Catalog files presented the lowest percentage of usage at 0.50% and 0.51%, respectively. 25. The average daily usage of un-accessioned resources is 3.77 or less than one usage per day for each type of resource. 26. Reasons for low usage of un-accessioned resource may be attributed to the following: - Awareness on the existence of such resources - Research value of the un-accessioned collection - Currency of the materials - Internet options - Organization of resources Conclusions Based on the findings, it is therefore

concluded that: 1. The print Reference collection, which is composed of accessioned and unaccessioned resources, is quantitatively strong in the fields of humanities and social sciences, but weak in science and technology. 2. The average age of the collection is relatively old. 3. The collection fell a little short of the standards set by the Texas Library Association 4. The collection grows steadily upwards, despite several factors affecting the growth, such as budget allocation, curricular offerings, nature of subject categories and availability of published materials. 5. The collection is still heavily used, despite the availability of other forms of information sources. 6. The strength or weakness of a collection greatly influences the outcome of the collection's usage. Recommendations Based on the findings and conclusions, the following recommendations were made: 1. Develop the collections on Computer Science and Technology (General) to keep abreast with the fast-paced turnover of information on these subjects.

2. Increase acquisition of titles in Anatomy, Mining Engineering, Hydraulic Engineering, and Microbiology to strengthen these collections. 3. Increase budget allocation for the purchase of print materials to enable the collection to be at par with the standard set by the Texas Library Association. 4. Increase usage of un-accessioned resources by developing marketing strategies like sending e-mail notices to inform the academic community on the availability of new resources. 5. Actively source for Vertical File and Corporate File materials a. Regularly purchase/acquire Vertical File materials; and, b. Improve organization of un-accessioned collections by making them accessible through the OPAC. 6. Develop a separate Millennium database for all un-accessioned resources for faster extraction of data that will be needed in bibliographic preparations, assessment studies, and management of the whole sub-collection. 7. Increase titles on subject areas least used to provide more variety of resources the users can choose from. 8. Conduct a follow-up assessment after 5 years to see if recommendations for collection build up is met and the quality of the print resources is improved.
