HOW TO USE THIS GUIDE This guide is broken into four parts: Part 1: Overview, Style and Components of Resumes and Curriculum Vitaes • General Info & Frequently Asked Questions (FAQ) • Common Components of Resumes & Curriculum Vitae (CVs) • Helpful Hints • Action Verbs • Effective Skill Sections • Web Resources • Typography Tips • CDC Resume Writing Checklist Part 2: Highlighted Example Formats for Resumes Part 3: Highlighted Example Formats for Curriculum Vitae Part 4: Resume Outline Worksheet This guide gives an introduction to written materials commonly required in job applications. The methods and art of composing job application materials like resumes, CVs and cover letters takes time and practice. This guide offers essential information to get started. For further assistance and refinement, students should have their draft materials reviewed by a Career Development Center (CDC) counselor. How this guide was prepared: This guide is written and tailored to liberal arts college job seekers and applications written in the United States. Recommendations in this guide are informed by diverse employer feedback on hiring, collaboration with colleagues in the Liberal Arts Career Network (LACN), Minnesota Colleges & Universities Career Services Association (MCUCSA), and national trends and standards from the National Association of Colleges & Employers (NACE). For students looking to work outside the United States, meet with a CDC counselor to discuss and receive tailored advice and resources to your situation and job search. A note about job application advice: As most job seekers come to realize, advice on what to include and how to structure a resume is often confusing and even contradictory. This is a subjective process. Each candidate must wade through the advice they receive and decide for themselves. The CDC recommends that job seekers always return to the perspective of the employer and the skills desired in the position. What an employer is most interested should guide decisions on structure, format and composition.

RESUMES What is a Resume? Think of your resume as a concise summary that introduces employers to your most relevant experiences. This document highlights your transferrable skills, education, and experience. Written for employers, its purpose is to convince the reader that you have the qualifications necessary to fulfill the needs of the posted opening. CURRICULUM VITAES What is a Curriculum Vitae? A curriculum vitae, or CV, provides a more detailed description of academic achievements and experiences. A CV is often submitted when applying for graduate school admission, graduate assistantships and fellowships. While a resume often describes job experiences and skills in a short, concise format, a CV is longer (2-4 pages) for recent college students. Often a CV features a greater emphasis on academic achievements, publications, research experiences, awards, and teaching experience. Frequently Asked Questions on Resumes and Curriculum Vitaes Will a resume/CV get me a job? A clean, professional, up-to-date resume is a critical piece of job searching. However, it is just one piece. The CDC strongly recommends each job seeker develops all job search skills, including career and field research, networking, informational interviewing, job interviewing, etiquette, and establishing a professional presence online (via LinkedIn and other mediums). Does a resume always have to be 1 page? Short answer: it depends. While in college, the CDC recommends structuring your resume to fit onto one page. Remember, an employer typically reviews a resume for less than ten seconds! You want to prioritize the critical information that conveys your skills. If you elect to have a resume longer than a page, make sure you utilize efficient and strategic formatting to convey that the resume is longer, and the length is warranted. Make sure the information for one position does not flow from one page to the next. Replicate headers with “Continued” for ease of reading. I don’t think I can fill 1 page? What do I do? Typically, students do not elaborate on their accomplishments and relevant experiences enough. Using the “Common Components of Resumes and CVs” on the next page, create content for each section. Incorporate relevant class projects, volunteer experiences and student organization involvement. Meet with a CDC counselor to refine your resume. Do I have to include my grade point average (GPA)? Typically, employers assume your GPA is below 3.0 if omitted from a resume. If your GPA is lower than 3.0, speak to a CDC counselor about how to best reflect this on your resume. Options may include listing your GPA within your major, or your current GPA.

COMMON COMPONENTS OF RESUMES & CVs This section offers a brief overview of components often seen in resumes of college students and recent graduates. For formatting and content suggestions, please use Part 2 & 3 of this guide. Name & Identification: Include your name, email, telephone number and current address. Add a permanent address if you expect to move in the next six months. If relocating for a job search, candidates often consider including a local address. For seniors and recent graduates, use an email address that will be accessible following the closure of your Macalester-email address. Education: Include name and location of college, along with its city and state. Include the degree you plan to receive (Bachelor of Arts here at Macalester), and your expected graduation month and year. List your major(s), minor(s), concentration(s) and your GPA (if 3.0 or higher). Also include your study abroad experiences. Leave off high school unless you are featuring other experiences (work, volunteer) from high school, or plan to look for jobs in that geographic area. Include relevant coursework is also an option, but limit to 3-5 courses that are most pertinent to the position. Work Experience: Resumes commonly list work experience either in a straight chronology or grouped by categories of experience. List the organization name, city/state/country, dates of employment, and brief, bulleted description of your work. Use action phrases to highlight responsibilities and skills gained. Civic Engagement Experience: Paid and/or volunteer positions offer invaluable experiential learning that should be listed on a resume. List experiences in a similar fashion to work experience. Activities & Leadership: This reflects extracurricular activities such as involvement in student organizations, athletics, and contributions to campus. Make sure to include any leadership or elected positions. Skills: Include technical/computer skills, fluency or proficiency in other language(s), experience using lab or special equipment, or certifications (i.e. CPR) and licensure that are relevant to the position. Additional Components to Consider Related Experience: Some individuals group their pertinent work, civic engagement, academic and extracurricular experiences into one category based on the job description. Summary of Qualifications: This is a brief statement that summarizes your immediate goal and informs the reader of the skills you have to offer. Make sure this statement is concise and tailored to the position for which you applying. Honors: List scholarships, honors, academic awards and scholarships received. Make sure to give context for the award as possible (i.e. Who awarded it? How were you selected? Why? Duration of the award?) Publications & Presentations: List any published materials that you have written or co-authored. Include a listing for relevant presentations you have conducted. Professional Organizations: Include memberships and any elected roles you have held within organizations.

RESUME & CV HELPFUL HINTS Every resume and CV should… • • • • •

Offer an accurate depiction of the candidate’s most pertinent skills and experiences Be able to be scanned for critical info in less than ten seconds. Appear easy to read and navigate from a passing glance. Show a clear hierarchy of pertinent content (versus equal space to all jobs/experiences) Feature concise but also descriptive content Free of typographical errors and misspellings

Resumes and CVs should NOT include… • • • • • • •

Any lies or exaggerations of experience Mistakes, misspellings and formatting errors Photo Passive language. “Job included” or “Responsibilities were” do not convey any action on your part. Salary/Hourly Wage earned in prior positions References. References are not part of your resume. When they are requested, place them in a separate document with similar formatting to your resume. Templates. The CDC discourages use of Microsoft Word templates for resumes. They are widely used, and non-distinct. Often text is difficult to manipulate within the template.

Know your rights: A few words about Employment Discrimination The United States Equal Opportunity Commission (EEOC) enforces federal laws prohibiting employment discrimination. Under the laws enforced by EEOC, it is illegal to discriminate against someone (applicant or employee) because of that person's race, color, religion, sex (including pregnancy), national origin, age (40 or older), disability or genetic information. Current federal laws do not consistently include protection of sexual orientation for private sector employment. Candidates are encouraged to also review local and state laws that offer greater protection for job seekers and employees. Regrettably, discrimination continues to occur. Often, candidates choose to exclude any potentially discriminatory information within their job application materials, including their resume. Some candidates choose to exclude organizations against which the audience may be prejudiced. Many employers are proud to promote a welcome hiring philosophy and workplace culture. Job seekers are also strongly encouraged to research employers to identify pros/cons of the workplace environment, culture, policy, and benefits. Candidates are encouraged to speak with CDC counselors individually to discuss their concerns and identify strategies.

ACTION VERBS When writing bullets about experiences on a resume or CV, take time to write descriptive, task, and outcomeoriented content. WRITING EFFECTIVE SKILLS SECTIONS A well-developed section dedicated to articulating your skills can highlight your strengths relevant to the position. These can be drawn from specific competencies requested in the job description or your desired field of interest. Make sure to list skills in order of relevance. General Strategies • Focus on key strengths. This is not an exhaustive list of your certifications and skills. Highlight skills that are identified in the job position or field of interest. • Be specific and descriptive. Avoid a list of software programs or skills. Be specific with the depth of your knowledge, and the context from which you gained experience. Language Skills • Consider Including number of years of academic study or immersion experiences (unless listed under “Education” section). • Use descriptors such as “fluent,” “proficient,” “conversational” to specify skill level. • Generally speaking, for positions in the U.S., do not include “fluent in English” because it is assumed. Computer/Software Skills • Include programs that are specifically requested in the job and programs you have more than a basic, cursory knowledge • Ability to work with multiple operating systems (Windows, Mac OSX, Linux). • Include years of use for each program and context. For example, “1 year of Excel for an accounting class” as opposed to “4 years of Excel used in chemistry lab data analysis”. • Include Google Apps, Microsoft Office, Photoshop, Mathmatica, JMP, R Studio, Arc GIS, if you have more than cursory knowledge of the programs. • If including social media sites (e.g. Facebook, Twitter, Pinterest, HootSuite) describe how you utilized the sites. “Used Facebook to promote campus-wide events and food drive.” • Consider words like “proficient,” “experienced,” “mastery,” “intermediate”. • Typing/data entry speed can be included for clerical and administrative-based jobs. Example: • “Extensive experience with Mac & PC platforms; proficient in Word, Excel, PowerPoint, and GIS (geoprocessing and map design)”. Lab Skills • Describe specific and relevant skills you developed through lab components of courses or through lab work in a research or internship setting. • Include specific instruments and how you have used them. Typically, this is written as a list if many instruments or skills are included. Examples: • “experience using mull, solution and solid-state FTIR for both air-stable and air-sensitive compounds”. • “familiar with common organic synthesis and workup techniques such as TLC, extractions, recrystallization, etc”. • “experience with petrographic microscope, XRD, XRF, SEM analysis and making thin sections”. Art Skills • Describe specific instruments and how you have used them (IE, drill press, torches, kiln, etc.), if they are relevant to the job you are applying to. • Include years of study for each medium and descriptions of ability.



If applying for a film, photography or video position, include both hardware and software skills and proficiencies.

SKILLS-Continued Communication Skills • Highlight strengths in verbal and written skills including presentations, facilitation skills and grantwriting. Examples: • “Participated in a public speaking course that concluded with a presentation to a group of 100 people”. • “Wrote a successful proposal and application to the Macalester Beltmann Fund and received a summer research grant”. Leadership Skills • This can also be formatted as a “leadership experience” section, formatted similarly to an “activities” or “work experience” section. • Highlighting leadership in skills is often used if the job description specifically requests leadership skills. • When possible, provide specific examples and numbers. Examples: • “Led a successful $2,000 fundraising drive for student organization”. • “Organized Macalester’s Relay for Life events attended by 150 Macalester students, faculty, and staff. Events raised $10,000 for the American Cancer Society.”

RESUME FORMATTING AND TYPOGRAPHY Resumes and CVs convey both your relevant skills and experiences. Typography, design and formatting all contribute to making a document readable and impactful. Consider the examples below and the impression they offer. Make sure to select formatting elements that contribute to the effectiveness of your document.
