THE OA 70th ANNUAL SCIENTIFIC CONFERENCE Orthoptics Australia Inc (OA) and the organising committee is planning on enabling orthoptists to share ideas and come away with new scientific and clinical knowledge, including an appreciation of new technology in ophthalmic practice and the increased role of the orthoptist.

INVITATION TO SPONSOR The OA 70th Annual Scientific Conference offers an excellent opportunity for your organisation to promote its products and services to a very specific target audience and to reinforce your corporate image within the ophthalmic setting.

BACKGROUND ON OA OA is a national professional organisation which exists to:   

promote and develop the profession of orthoptics represent and support its members contribute to excellence in eye health care in the community.

HOBART 2013 CONFERENCE Hobart 2013 will highlight the diversity of our profession, our prominence, and our integral and dynamic role within the eye care industry. It aims to provide the opportunity for sponsors to interact with orthoptists from across Australia, who work in many and varied workplace settings.

DEMOGRAPHICS The Conference is likely to attract around 200 rural and metropolitan orthoptists from around Australia, and provides a wonderful opportunity to meet and facilitate new and old contacts. Australian and overseas ophthalmologists are included in the program, which is also open to ophthalmic nurses and orthoptic students.

Please read the following terms and conditions of sponsorship for the OA 2013 Annual Conference. Please tick the appropriate box on the pledge form stating that you understand and agree to these terms and return it to the conference secretariat by fax or post. 1.

By returning this signed Sponsorship Agreement (“Agreement”), you agree to be a Sponsor in the form of your pledge application for the OA 2013 Annual Conference organised by the Orthoptics Australia Inc., from 3rd-6th November 2013 on the following terms and conditions set out below and as attached to this Agreement.

Upon receipt of your signed Agreement together acknowledgment of receipt will be sent in writing with a Tax Invoice. YOUR SIGNED AGREEMENT AND FULL PAYMENT MUST BE RECEIVED WITHIN 21 DAYS TO CONFIRM AND SECURE YOUR PARTICIPATION. Your pledge form indicates your intention to pay the full amount of your sponsorship within 14 days of receipt. If you do not pay within 21 days, the conference organisers reserve the right to resell your space without notice.

3.

You agree to pay to the OA Annual Conference: Full payment equal to the sum on your pledge form within 21 days of receiving your tax invoice.

4.

Sponsorship entitlements will not commence until it has been paid.

5.

In addition, should you forward your pledge form and then decline your sponsorship agreement within 40 days of the event, you are still obliged to pay 50% of the full amount of your intended package and will be invoiced accordingly. Failure to pay will result in legal action. In the event that your cancelled space / sponsorship is resold, you may be eligible for a full refund.

6.

All cheques are to be made payable to: “Orthoptics Australia Inc.”, and are payable in Australian Dollars only.

7.

All amounts stipulated in this Agreement include goods and services tax (GST).

8.

Please note that your requested category of sponsorship may have a limit to the number of sponsors as specified in the attached documentation and preference will be determined in order of receipt of the signed Agreement and deposit cheque. The Conference Organisers will notify you if you are unable to participate in your requested category. Trade Display please note: The Conference Organiser will allocate all exhibition space to you on a first come first serve basis with Major Sponsor spaces being allocated first.

9.

Sponsors are not entitled to entry into the conference sessions or social events, unless the relevant tickets are offered as part of the particular sponsorship package. However, should Sponsors wish to attend the Conference as a delegate, the appropriate registration form must be completed and forwarded to the Conference Organisers together with the applicable registration fee.

10. The Conference Organisers may at their discretion use your logo, symbol, trade mark or registered mark in acknowledging your sponsorship in the Conference literature where this is offered as part of your particular sponsorship package and no payment shall be made to you for such use. You will be responsible for forwarding your logo, symbol, trade mark or registered mark within 21 days of your pledge form with your payment. We request that all logos be supplied in an eps. or tif. 300dpi format, high resolution file. Should an alternative format be received, the conference organisers can not be held responsible for the quality of the logo displayed in any of the promotional material. 11. Nothing contained in this Agreement will be deemed to constitute a partnership, joint venture or agency relationship between you and the organising committee, their companies and/or the Conference Organisers and you must not do anything where you will in any way be represented that you are a of partner the committee, their companies and/or the Conference Organisers without prior written consent. 12. No sponsor has the right to veto any other prospective sponsor. Nor does the term “naming rights” involve the re-branding of the event in any form to suit the sponsoring organisation, other than to be known as a secured partner, eg: Gold Sponsor. 13. Sponsors agree to market to their database to ensure attendance at the conference should they be asked. organisers will provide an email advertisement for this purpose if required.
